Every quarterly preventive visit should cover: air filter cleaning or replacement; condenser and evaporator coil inspection and cleaning; refrigerant pressure check and top-up logging; condensate drain flushing; belt tension and bearing lubrication; thermostat and control calibration; electrical terminal tightening and current draw measurement; and a written service report with before/after readings.
Once a year, beyond the quarterly scope: full coil chemical cleaning; motor insulation resistance testing; VFD parameter review; duct inspection and cleaning where required; cooling tower descaling and water treatment review (for chilled-water plants); safety control testing; and an energy performance report comparing consumption year-on-year.
A serious AMC specifies: breakdown response time (we commit 2-hour on-site response in Hyderabad and same-day Pan-India); uptime commitment for critical systems; spares philosophy (genuine spares, stocked consumables); escalation matrix with named contacts; and monthly reporting. If a vendor won't put response times in writing, that tells you everything.
Watch out for: quotes that don't list service frequencies; 'comprehensive' AMCs that exclude compressors (the most expensive failure); no service documentation; unverified technicians; and missing statutory compliance (PF/ESI) for deployed staff — which becomes your legal liability as the principal employer.
Typically 4–8% of equipment value per year depending on system type, age, and coverage (labour-only vs comprehensive with spares). Get the scope in writing before comparing prices.
